Before the event, the scope can cover an opening film, teaser, stage graphics, titles and screen loops. On site, it can cover the agreed speakers, atmosphere, product demonstrations, interviews or stand activity. After the event, selected footage can become rapid edits, a recap film and channel-specific versions.
Send the programme, venue plan, screen specifications, speaker list, rehearsal access and final delivery deadline. Stage content, event capture, rapid edits and the finished event film are scoped as separate pieces of work.

SCREEN AND VENUE SPECIFICATION
Design starts with the playback system
Provide the final resolution, aspect ratio, frame rate, codec, file-size limit, playback method, screen layout and safe areas. State whether the film must work without sound and whether subtitles, sponsor marks or mandatory titles are required.
For wide, vertical, composite or shaped screens, important objects and text are checked against the real canvas. Rehearsal or technical-test access should be agreed before the delivery cutoff.
COVERAGE PLAN
Define the moments that cannot be missed
The coverage plan names priority speakers, presentations, product demonstrations, audience or stand activity, interview windows and restricted areas. It also identifies one client-side contact who can approve changes during the event.
Event capture and livestreaming are different technical scopes. Streaming, recording of complete talks, rapid edits and a final recap are included only when they are written into the estimate.

CHANGE CONTROL
Late programme changes reopen affected work
A speaker change, new mandatory title, revised sponsor list or different screen specification can affect design, edit and technical testing. The producer records the impact on files, budget and schedule before the revised task is accepted.
A rapid edit needs an agreed structure, a named approver and a fixed footage-transfer and feedback cutoff. The actual turnaround is confirmed only after these conditions and the required versions are known.
DELIVERY MATRIX
One production can serve different moments
The agreed package may include an opening film, teaser, screen loops, stage graphics and titles, captured selects, rapid edits, a recap film, silent versions, subtitles and exports for the website or social channels. Each item, duration and aspect ratio is listed before production.
Use motion design for graphic-led stage content, presentation video when the message supports a pitch or speaker, and social adaptations for planned post-event cuts. A launch teaser can begin the communication before the venue opens.

Permissions belong in the production scope
The client confirms permissions for the venue, speakers and performers, presentations, sponsor marks, product claims, supplied archives and other source assets. Music, stock, fonts and third-party materials are checked against the agreed territories, channels and term of use.
Project files, camera originals and editable source assets are transferred only when the estimate and contract list them.
PRICE AND SCHEDULE
What changes the estimate
The price depends on event duration, crew coverage, turnaround, screen content and the number of recap edits. Venue access, programme stability, data transfer, approval speed, graphics complexity, licences and the final version matrix also affect the scope.

QUESTIONS
Before the event video estimate
Can event video be made without filming?
Yes, when graphics, approved archives, AI or product visualisation solve the task. The production method is chosen from the required screen content and final uses.
Do we need several versions?
Usually yes. Stage screens, exhibition stands, social channels and websites can require different durations, aspect ratios, sound states and captions.
What screen information is required?
Send the resolution, aspect ratio, frame rate, codec, playback method, screen layout, safe areas, sound state and technical delivery cutoff.
Can a rapid edit be delivered during the event?
It can be scoped after the programme, edit structure, footage-transfer cutoff, approver and publishing deadline are confirmed. It is not included automatically.
Does event capture include livestreaming?
No. Livestreaming and recorded event coverage are separate technical scopes and must be estimated explicitly.
What changes the event video price?
Event duration, crew coverage, screen content, graphics, venue access, turnaround, review speed, licences and the number of recap and channel versions all affect the estimate.
Who clears speakers, presentations and venue filming?
The client confirms the required venue, speaker, performer, presentation, sponsor, archive and product-claim permissions unless the contract assigns a specific clearance task elsewhere.
Are project files and camera originals included?
Only when the estimate and contract list them. The standard delivery is the approved master and agreed versions.

Send the event date, programme, venue plan, screen and playback specifications, priority moments, available materials, required versions and delivery deadlines. SHAR will separate pre-event content, on-site work and post-event delivery in the estimate.
